  • Matrix Clinical Trials provides rapid and scalable decentralized trial solutions to reach broad and diverse trial participant populations and improve the patient experience. Matrix adheres to the highest standards in quality, compliance, and data collection to accelerate trial completion timelines and support trial partners.
  • Matrix Clinical Labs is a CLIA-certified and CAP-accredited laboratory that provides state-of-the-art diagnostic services and clinical testing support.

Responsibilities

About this Role:

 

 Type: Full Time 

     Compensation: $95,000 - $110,000/yr.

Location: Primary location is 9201 E. Mountain View, Road, Scottsdale, AZ 85258. Position is remote.  

Hours: Days, Monday-Friday

Reporting to the Chief Executive Officer, the Manager, and Executive Administration provides high-level administrative support to the Chief Executive Officer, Chief People Officer and Chief Operating Officer, and other members of the leadership team. Day-to-day responsibilities including, but not limited to:  enhancing the effectiveness of the senior level business leaders by scheduling meetings, planning business trips, answering phone calls, managing information requests, preparing reports and presentations, and proactively anticipating the needs of the executive team and business leaders. This role leads and directs the Executive Assistant team.  A high level of integrity and discretion in handling confidential information and professionalism in dealing with executive leadership is imperative.

 

Responsibilities:

  • Complex calendar management and scheduling of internal and external meetings to include managing travel.
  • Strong service mentality to enable the CEO and other executives to drive better efficiency and effectiveness.
  • Organize, prioritize and manage time-sensitive, confidential information; ensure any action items are executed.
  • Edit, proofread, and redline documents to ensure accuracy of copy, grammar, punctuation, and syntax.
  • Create, prepare and/or update sophisticated PowerPoint presentations.
  • Create and analyze Excel spreadsheets, pulling data from spreadsheets for reports or presentations as needed.
  • Coordinates Board of Directors meetings, materials and communications.
  • Works closely with the Board of Directors’ executive assistants for scheduling board meetings and other critical meetings.
  • Mentor, coach and provide feedback to Administrative Assistants.
  • Maintains and tracks non-disclosure and confidentiality agreements as well as leadership agreements which may include filings with the IRS
  • Coordinates the on-boarding processes to include submitting SysAid tickets to IT and ensuring that equipment and other necessary items are provided to incoming Senior Leadership new hires
  • Manages expense reporting and reconciliation through the company’s expense management system
  • Processes purchase orders by entering requests and obtaining approvals in a timely manner
  • Oversees multiple projects through to completion within defined timelines
  • Maintains office supplies inventory by checking stock to determine inventory level and anticipating needed supplies
  • Other duties as assigned

Qualifications

Must Haves:

  • Associates or Bachelor’s degree preferred.
  • Knowledge of software applications including Microsoft Outlook, Word, PowerPoint, Access, Excel, Internet, Concur and other web-based applications.
  • Minimum 10+ years’ experience as an Administrative Assistant; minimum 5 years as an Executive Assistant level supporting C- Level
  • Highly resourceful team-player, with ability to work well under pressure, maintain confidentiality, and to be extremely effective independently.
  • Superior attention to detail and the ability to meet tight deadlines.
  • Ability to complete complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability and emotional maturity.
  • Strong organizational, written and verbal communication and grammatical skills.
  • Maintains current knowledge of major department/business unit functions and policies
  • Must possess strong interpersonal skills and effectively maintain collaborative and productive working relationships
  • Local Candidates only.  Must be able to be at our corporate location for Leaders

Supervisory Responsibilities: Will have direct reports.

Travel:  Some travel could be required
