Overview

The Project Assistant will handle a variety of activities across the enterprise including but not limited to Talent Acquisition, Talent Management, Learning & Organizational Development, and HR Administration. The Project Assistant will work in collaboration with project stakeholders within Human Resources as well as other areas of Matrix to define project scope, goals, and deliverables. This position will contribute to multiple projects to ensure coordination and implementation align to company goals. This role will be responsible for project and activities planning, coordination, and implementation that enhance the development of both our associates and the organization.  This role will act as a liaison across the HR department, operations, and the overall business.  

 

Responsibilities

  • Administer, track, and report on multiple projects within the HR department including, but not limited to, data analysis, preparation of communications, and drafting or editing of Human Resources policies and guidlines
  • Develop and deliver progress reports, proposals, requirements and presentations for on-going projects
  • Responsible for assisting in the creation, editing, and maintenance of all HR documents (materials, communications, educational content)
  • Provides high quality writing and editorial support while providing end user perspective
  • Tracks, compiles data, and analyzes HR activities to ensure delivery and recommends changes based on best practices, feedback, and practical application
  • Coordinates the readiness of HR events including meeting space, materials, LMS system, supplies, vendors, etc.
  • Coordinates Employee Appreciation and Engagement activities
  • Owns company employee surveys: software, creating, monitoring and reporting
  • Responsible for the corporate HR calendar to ensure all HR groups are accountable to delivering on business needs/requirements/deadlines
  • Documents HR meeting updates, track and coordinate follow-up tasks with the various departments
  • Builds and maintains relationships with all Matrix employees in order to stay knowledgeable of any initiatives, projects and activities that could benefit from HR partnerships
  • Completes assigned work in a timely manner to ensure deadlines are met
  • Other duties as assigned.

 

Qualifications

Educational Requirements:

  • Bachelor’s degree and/or equivalent work experience
  • 1 to 3 years of business writing experience required
  • 1 to 3 years project management experience

Required Skills and Abilities:

  • Must have excellent verbal and written communication skills, with good command of the English language
  • Must have a strong attention to details, in addition to strong editing skills
  • Must have a proven track record of providing excellent customer/client experience
  • Strong ability to communicate complex issues in a clear and concise manner
  • Must be comfortable speaking to all levels of the organization including small or large audiences
  • Must have strong research, problem-solving and decision-making skills
  • Must be an independent self-starter
  • Expert in MS Office applications, including, Outlook, PowerPoint, Word, Visio, and Excel and ability to learn new software programs and technology tools quickly
  • Expert in project tracking applications
  • Must be flexible to work within varying hours as needed to complete the tasks to support Matrix partners
  • Must have a solid understanding of budgets/financial aptitude
