    Office Administrative Assistant

The Office Administrative Assistant is responsible for providing support services to our team in Scottsdale, Arizona, including but not limited to our internal and external stakeholders, executives, C-Suite personnel, purchasing, facilities and operations. The Office Administrative Assistant is the first point of contact for all visitors and requires a high attention to detail, the ability to multitask, and the ability to work independently.

     

    Responsibilities

    Social Media_corporate 7 for iCIMS

    • Coordinates incoming and outgoing postal and FedEx functions.
    • Reception coverage, screen telephone calls, meet and greet visitors at all levels of seniority.
    • Coordinates daily maintenance of the facility as well as responding to and resolving maintenance issues.
    • Acts as liaison between building management and company.
    • Coordinates internal office workstation moves.
    • Assist with security/badging process.
    • Conference room management and maintenance.
    • Maintain internal office signage.
    • Emergency planning, training and preparedness.
    • Procurement functions including but not limited to: office supplies, pantry supplies, business cards, and all other office equipment and supplies as needed.
    • Oversee outside vendors including office supplies, printing, shipping, catering, cleaning and FedEx.
    • Other duties or projects as needed.

    Qualifications

    Educational Requirements:

    High school diploma or equivalent.  Post high school education preferred. 

    Office Management certifications preferred

     

    Required Skills and Abilities:

    • Minimum 5 years experience in office management or purchasing procedures.
    • Proven effective problem solving, prioritization, communication, and in depth knowledge of Microsoft Office Suite.
    • Ability to independently research and analyze various types of data, trends and reports and make recommendations.
    • Professional business presence
    • Valid driver’s license.
    • Able to provide verification of current vehicle insurance in accordance with state requirements.
    • Excellent written and verbal communication skills.
    • Must be punctual and reliable.
    • Must be able to lift 40 pounds.
